This policy explains how refunds and cancellations are handled at ReedyFlex Studio. We believe in transparency — so this document is as short and clear as we can make it while covering the real-world situations that come up.
01 · The basics
Every engagement at ReedyFlex follows the same payment structure unless explicitly varied by the Statement of Work (SoW):
- 50% deposit on engagement (before work begins)
- 50% balance on approval, before final file release
Refund eligibility depends on what stage the project is at when the cancellation request arrives.
02 · Before any work begins
If you cancel after paying the deposit but before we have shared any design work with you (including moodboards, sketches, or initial concept presentations):
- You receive a full refund of the deposit
- Minus any payment gateway or bank processing fees already incurred (typically 2 – 3% for Razorpay; nil for direct bank transfers)
- Processed within 7 – 10 business days of the cancellation request
03 · After concepts have been shared
Once we have shared any design exploration with you — whether that's a moodboard, early sketches, or a full concept presentation — the deposit is considered earned and is non-refundable. In return:
- You retain the right to review the work completed to date
- You are not charged the balance invoice unless you choose to proceed
- Any final approved file delivery requires balance payment
- Preliminary / unused concepts remain the property of the studio
This is industry standard for creative services. It reflects the real time and thinking that goes into concept work — effort you've already received the output of.
04 · Pausing rather than cancelling
Circumstances change. If you need to pause a project rather than end it:
- Pauses of up to 60 days are available at no additional charge
- Pauses longer than 60 days may require a small re-onboarding fee (₹1,500 – ₹3,500) depending on scope and time elapsed
- During a pause, neither party has active obligations — you are not charged, and we don't continue work
- You have up to 12 months to resume a paused project at the original scope and fee
05 · After final file delivery
Once final approved files have been delivered and balance is paid:
- The project is considered complete
- No refunds are issued at this stage
- You receive 14 days of complimentary file support (format tweaks, additional sizes, technical corrections)
- After 14 days, additional work is billed at our hourly rate (₹2,500/hr)
06 · Refunds we never offer
For transparency, there are a few situations where refunds are never available:
- Change of mind after project approval. If you've approved final concepts and paid the balance, the project is complete.
- Subjective dissatisfaction with delivered work after all included revisions have been used. Design is subjective; we provide included rounds to work through preference. Beyond that, additional rounds are billed hourly.
- Business circumstance changes unrelated to our work — for example, funding failing to close, a pivot, or a team change after concept work is in progress.
- Expected business outcomes not materialising. As noted in our Terms, we cannot promise specific business results from identity work alone.
07 · Our refunds to you (rare, but)
If, for any reason, we find ourselves unable to complete an engagement we've committed to — for example, due to capacity issues, personal circumstances, or operational emergencies:
- You receive a full refund of all fees paid, minus processing costs
- Any work completed to date is shared with you at no further charge
- We provide written recommendations of other studios who could complete the engagement
In our six years of operating, this has happened twice. We take the commitment seriously.
08 · How to request a cancellation
To cancel an active engagement, email hello@reedyflex.site with the subject line "Cancellation Request" and your project reference (shown on invoices). We will:
- Acknowledge the request within 24 business hours
- Summarise the current project status and applicable refund (if any)
- Confirm next steps and process refunds within 7 – 10 business days where applicable
09 · Disputes
If you disagree with a refund determination, raise the concern in writing within 14 days of our response. We will review and respond in good faith. Any unresolved dispute follows the dispute resolution process in our Terms of Service.
